AI front desk + Square: catalog, invoices and order status

If you run on Square, the front desk can recommend items from your Square catalog, send customers a Square invoice they pay on Square's hosted page, answer "where's my order?", and report what share of your sales it drove.

Early access. Built and checked with a pass/fail connection test when we set it up. We're still verifying it against more live accounts, so if you depend on it, tell us and we'll test yours first.

What it does with Square

Reads your catalog

Items and their variations (sizes, options) come from Square, so the agent recommends and prices what you actually sell.

Sends Square invoices

The order becomes an invoice on your Square account. The customer pays on Square's hosted page, so no card number touches Viravance.

Looks up orders

When a customer asks about an order, the agent finds it by the email or phone on file and sends the status to that contact, privately.

Reports share of sales

Your net completed orders at one location are totalled only to compute a percentage. The total is never stored or shown.

How to connect it

  1. 1Create a Square access token with read access to orders and catalog and permission to invoice.
  2. 2Give us the token and your location when we set you up.
  3. 3We run a pass/fail connection check, then a test order.

What we read and write

  • Read: catalog items and variations, customers and orders (for status), and net completed order totals (for the percentage only).
  • Written: invoices on your Square account.
  • Never touched: card numbers.

What it doesn't do

  • ✕Replace your Square point of sale.
  • ✕Search orders by reference number (Square has no such filter), so lookups use the customer's email or phone.
  • ✕Report sales across more than one location at once.

Common questions

Is the Square connection live?

It's built and checked when we set it up, but it's early access: we're still verifying it against more live accounts, so we'll test yours before you rely on it.

Can I use Square for the catalog and Stripe for payment?

Yes. Catalog, invoicing and reporting are separate choices.
