AI order taking: customers order by chat or phone and get an invoice
Taking orders is the most expensive thing a small team does by hand: the questions, the substitutions, the back-and-forth over size and quantity. Viravance's agent takes the order in the conversation, confirms the details, and sends a hosted invoice the customer pays in one tap.

From question to paid invoice
The agent finds the right product from your catalog, handles the choices (size, grind, quantity, delivery), confirms the total, and creates the invoice. The customer pays on the payment processor's own page. Your system records the sale, and the dashboard shows it as revenue the front desk landed.
- Works in website chat and on the phone.
- Tolerates how people really ask: it finds the product even when the name isn't exact.
- Texts the customer a short form for details that are hard to catch by ear.
- Sends the invoice by email, so a failed email never loses the order.
Card numbers never touch us
Payment happens only on the processor's hosted invoice page. Card numbers never enter the chat, the phone call, our code, our logs or our database, so there's nothing for you to secure on your side either. If a customer types a card number into chat anyway, it's scrubbed before it's stored.
It shows up in your numbers
Invoices paid roll up on the dashboard as sales landed. If you connect your payment system (Square, Shopify, Stripe or PayPal), the dashboard also shows what share of your total sales came through the front desk. Your total stays private: we keep and show only the percentage.
Built for orders that need a conversation
Self-serve checkout is great for simple products. AI order taking is for the sales that need a question answered first: custom options, bulk quantities, phone-first customers, and the visitor who'd otherwise leave. That's where it earns the most.
What it does, and what it doesn't
What it does
- ✓Takes orders by chat and by phone
- ✓Handles options, quantities and substitutions in conversation
- ✓Sends a hosted invoice and tracks payment
- ✓Reports sales landed and, optionally, % of total sales
What it doesn't
- ✕Accept card numbers anywhere in chat or on calls
- ✕Replace your storefront: simple checkouts can stay as they are
- ✕Run fulfilment or shipping: it hands you a paid, confirmed order
Common questions
Can an AI really take an order over the phone?
Yes. The voice agent finds the products, confirms the details back to the caller and sends an invoice. For anything hard to hear, like an email address, it texts the caller a short form instead of guessing.
How do customers pay?
On the payment processor's hosted invoice page. Viravance never sees or stores card numbers.
Which payment systems does it work with?
Invoicing runs through your payment processor. For the share-of-sales report we support Square, Shopify, Stripe and PayPal.
What if the customer wants something that isn't in the catalog?
The agent says so plainly and offers the closest match, or captures the request for your team to follow up.
How much does AI order taking cost?
It's included in every plan: $300, $700 or $1,500 a month with conversions and voice minutes bundled in. See pricing.
