After-hours answering service

An after-hours answering service that books the job while you're closed

Customers don't stop needing you at 5pm. They look for a plumber at 8pm, ask about an appointment on Sunday and order for tomorrow after you've locked up. Viravance answers those calls and chats, does the next step when it can, and leaves you a clear list to start your morning with.

What an after-hours answering service has to do

A good after-hours answering service does more than pick up. The caller has to feel looked after, the business has to know exactly what was asked, and anything that can be finished on the spot should be, because a customer who waits until morning is a customer who may already have called someone else.

A voicemail box does none of that. It records a message that may never be heard until the next day, if the caller leaves one at all.

  • Answers the call or chat right away, with no ring-out and no hold music.
  • Finds out what the customer needs and answers from what it knows about your business.
  • Completes what it can: a booking, an order or a callback request.
  • Tells you what happened, so nothing is lost overnight.

What happens to calls that come in after you close

Most after-hours contacts fall into a few kinds, and each has a clear next step.

  • Someone wants an appointment: the agent checks your live calendar and books it, so the customer wakes up with a confirmed time.
  • Someone wants to order: it builds the order and sends a hosted invoice the customer pays on the processor's page.
  • Someone has a question: it answers from your services, prices, hours and policies, or says it isn't sure and offers your team.
  • Someone wants a person: it takes their name, best number and the reason, asks the best time to call, and alerts your team.

Your morning list

Each call gets a short summary of who called, what they wanted, what the agent did and whether someone should follow up. Calls that need a callback land on your Leads list. The rest, such as questions answered, orders completed and wrong numbers, are kept under Other calls, so you can read what people talked to the AI about.

That turns the first ten minutes of your day into a short, ordered list instead of a voicemail pile to sort through.

Why after-hours is where the money leaks

People shop and book when they have time, and that is often when you're closed: evenings, weekends and lunch breaks. A booking request that waits twelve hours has had twelve hours to go somewhere else. If you want to see what that costs your business, the missed-call revenue calculator works it out from your own call volume, and our guide on after-hours leads explains where the loss happens.

What it won't do

Be clear with your customers about emergencies. The agent can't dispatch help or reach a person who isn't available, so if your business takes urgent calls, tell callers what to do in a real emergency, such as calling emergency services, and decide with us what the agent should say.

It also doesn't take card numbers by phone, since payment happens on the processor's hosted page, and it isn't built for HIPAA-regulated health information.

Who it suits

It suits any business where customers call outside the hours you're staffed: home services and contractors, salons and barbershops, auto repair, restaurants and caterers, fitness studios and pet services. Each of those has its own page showing how the front desk handles its calls.

What it costs

Viravance plans are $300, $700 and $1,500 a month, with 500, 1,500 and 5,000 voice minutes included along with conversions. Usage above your plan's bundle is billed at the published per-minute rate, and every new account starts with a free first month. A one-time setup fee applies after the free month. There is no separate after-hours charge: the same agent covers your daytime calls too.

What it does, and what it doesn't

What it does

  • ✓Answers calls and chats outside your hours, with no queue
  • ✓Books appointments against live availability
  • ✓Takes orders and sends a hosted invoice the customer pays online
  • ✓Summarizes every call and flags the ones that need a callback
  • ✓Alerts your team to hot leads with the details

What it doesn't

  • ✕Dispatch help or handle emergencies: callers with an emergency should contact emergency services
  • ✕Take card numbers over the phone: payment happens on the processor's hosted page
  • ✕Put a live operator on the line: it's an AI agent, and your team takes over the calls that need a person
  • ✕Handle HIPAA-regulated health information: Viravance isn't built for it

Common questions

What is an after-hours answering service?

It answers your calls and chats when you're closed. Viravance's version is an AI agent that does the next step as well, booking, taking the order or capturing a lead, and gives you a summary of every call.

Does it only work after hours?

No. It's the same agent around the clock, so it also covers lunch breaks, busy stretches and weekends. There isn't a separate after-hours product or charge.

What does a caller get at 9pm?

They get an answer right away. If they want an appointment, it's booked from your live calendar. If they want to order, they get a hosted invoice. If they need a person, their name, number and reason are saved and your team is alerted.

Can I set the hours it covers?

The agent answers whenever someone contacts you. If you'd rather your team take calls during the day, we can talk through how you want daytime calls handled when we set it up.

Who sets it up?

A real person does, with you. We connect your calendar and tools, set the greeting, test calls before it goes live, and stay available through your free month. Right now you work directly with the founder.

How much does it cost?

Viravance plans are $300, $700 and $1,500 a month with voice minutes bundled in, plus a one-time setup fee. Every new account starts with a free first month.

See it work on your own business

Chat with a live front desk, then we'll plug it into your site with you. The first month is free, with a real person helping through it.
