AI front desk plan calculator: what to automate, what it saves and which plan fits
Tell us how many chats and calls you get, who answers them and what a customer is worth. You get an estimate of the staff time an AI front desk could take over, the sales it could win back, the plan that fits your volume, and the steps we'd take first. You can email the plan to yourself.
- Cautious
- $1,031
- Expected
- $2,436
- Optimistic
- $3,842
Setup fee paid back in about 1 month on the expected case.
Even on the cautious case, the estimated gain covers the Starter plan ($375 a month).
What we'd do
- Answer every contact, any hour. About 95 contacts a month go unanswered today, worth roughly $4,275 a month at your close rate and customer value.
- Add the voice agent for your 200 monthly calls, alongside web chat, so a caller gets the same answers a chatter does.
- Put the chat agent on your website for the 300 chats a month, with a person one tap away for anything it shouldn't handle.
- Let the agent finish the routine questions (about 40% of your contacts) and hand the rest to your team with the conversation attached. At your assumption that is about $674 a month of staff time.
- Start with the free first month, set up with a person, and read the real figures on your dashboard before you commit.
How this is calculated
- Answering cost today = people × hours per week each × (52 ÷ 12) × hourly wage × (1 + the burden you enter). Burden is payroll taxes and benefits on top of wages.
- Staff cost taken over = answering cost × the share of contacts that are routine × the share of routine contacts you assume the agent finishes without a person. The rest still goes to your team, with the conversation attached.
- Missed business = (calls × the share unanswered + chats × the share unanswered) × your close rate × your average customer value. Won back = that figure × the share you assume the agent recovers.
- The plan is the cheapest Viravance plan for your expected conversions (chats plus calls, times your close rate, since a plan's bundle counts bookings and paid invoices) and your call minutes, counting each plan's published overage. The one-time setup fee is shown separately and used for the payback figure.
- The cautious case halves both assumptions, the expected case uses them as entered and the optimistic case takes them at one and a half times, never above 100%. If even the optimistic case doesn't cover the plan, the page says so.
- Everything is an estimate from your own numbers and two assumptions you control. It isn't a promise of results, and a real dashboard figure from your own conversations replaces it once the front desk is running.
Common questions
Is this the same as AI customer service?
It covers the same ground for a small business: answering the questions customers ask by chat and phone, 24 hours a day. The difference is that a Viravance front desk also takes the next step, booking the appointment or sending the invoice, and hands anything unusual to a person with the conversation attached.
What happens to the numbers I enter?
Nothing is sent while you type; the estimate is worked out in your browser. If you press Email me this plan, we send the answers and your contact details to our team, keep a copy so a person can follow up, and email you your plan. We use it only to answer you.
Where do I find my chat and call numbers?
Your phone provider's call log or bill has monthly calls and minutes. Your chat tool, site messages and inbox give chats. If you can't count them, estimate a typical week and multiply, then check the result against what you see.
Why are there three cases instead of one answer?
Nobody knows in advance how much of your routine work an agent will finish or how much missed business it will win back, so the page shows a cautious, an expected and an optimistic case. Plan on the cautious one.
Does this replace my staff?
It's built to take repetitive questions and after-hours contacts off your team, not to remove people. Many businesses keep their team and put the saved hours into customers who are ready to buy.
