When should an AI hand off to a person?
When an AI front desk should bring in a human, how a good handoff works, how your team finds out, and how to review handoffs each week.

An AI front desk shouldn't try to handle everything. The best ones know when to bring in a person, do it warmly, and never leave a customer stuck. Here's when to hand off and how to make it work.
When a person should step in
- The customer asks for a person, especially a second time, or insists.
- The need is outside what the assistant can do, such as a custom job or an unusual request.
- The deal is large or complicated enough that a person would serve it better.
- The customer is upset, or it's a complaint.
- Refunds, special exceptions and anything legal or medical, if you choose to treat them that way.
You decide the list. A shop owner may want every large order flagged, while a service business may want every emergency flagged.
What a good handoff looks like
- It gets a name and the best phone number or email, and reads the number back to confirm it.
- It asks the best time to reach them.
- It tells your team why, and how urgent: hot (ready to buy now, high value, urgent or upset) or warm (interested but not ready).
- It tells the customer exactly what happens next.
- If the customer declines a person but showed interest, it still captures their details so you can follow up.
A bad handoff says "someone will be in touch" with no way to reach the customer. A good one never ends a call with an interested caller and no contact details.
How your team finds out
Handoffs alert the contacts you choose by email, and by text if you set it up, with the reason and the urgency. Your team can also watch conversations live in the inbox and take over a chat in the middle of it.
Be honest about response time
Don't promise a reply faster than you can deliver. If your team follows up within the hour, say that. If it's next business day, say that. A promise the assistant makes on your behalf is a promise you keep.
Measure it
Track how often people step in and why. A very high rate usually means the assistant is missing information, and a rate near zero can mean it's holding on too long. Read the handoffs each week and teach the assistant what it didn't know.

Common questions
Can customers always reach a person?
They can ask for one at any time. If your team isn't available, a good handoff captures their details and tells them when to expect a reply.
Can my team take over a chat in progress?
Yes. The live inbox lets your team read conversations as they happen and step in when it helps.
What if nobody is available to take the handoff?
The assistant still captures contact details and urgency, so the follow-up happens as soon as someone is free.
