Per-seat pricing vs. flat pricing for an AI front desk
Why per-seat pricing penalizes teams that watch the conversations, and how a flat plan with unlimited team seats works. What to ask before you buy.

Many software platforms charge for every person who can sign in. For a front desk you want your whole team to be able to watch, that model quietly penalizes the exact thing that makes it work.
How per-seat pricing works
Per-seat (or per-user) pricing adds a fee for each person who has a login. It makes sense for tools that one person uses all day. The more people you add, the higher the bill, so the price follows your headcount, not the work the software does.
Why it fits a front desk poorly
The people who benefit from an AI front desk are often occasional users: the owner, a manager, and a couple of staff who check leads or step into a conversation. That pattern runs into per-seat pricing in a few ways.
- Seat fees tempt owners to share one login. That removes accountability and makes it hard to tell who stepped in or changed something.
- The more people who read real conversations, the faster the agent's answers get corrected and improved. Charging per reader discourages that.
- Teams change. A busy season, a new hire or a part-time helper shouldn't mean a new line on the invoice.
- Your bill rises with the number of people in the room, not with how many customers the front desk actually handles.
A worked example (illustrative numbers)
These figures are made up to show the shape of the math. They are not any vendor's real price, so swap in the numbers from a quote you've been given.
Say a platform charges $25 per seat per month, on top of its base fee. A small business wants the owner, two managers and five front-line staff to be able to see conversations. That's eight seats, or $200 a month and $2,400 a year, and none of it buys a single extra conversation handled.
Now add four seasonal helpers for the busy months. Under per-seat pricing the bill goes up again, or someone starts sharing a login to avoid it. Under a flat plan with unlimited seats, those twelve people cost the same as the eight did, and the price only changes if the front desk's usage goes above the plan's bundle.
Who this matters most for
- Restaurants and caterers, where shift staff come and go and several people may need to check orders and questions.
- Home-service and contracting companies, where the owner, an estimator and a dispatcher all want to see which leads came in overnight.
- Salons and pet groomers, where the front desk and several stylists each want visibility into bookings.
- Online stores, where support, marketing and the owner all learn something from reading real customer questions.
How Viravance charges instead
Viravance plans are flat monthly prices ($300, $700 or $1,500) that bundle a set number of conversions and voice minutes. Unlimited team seats are included in every plan, and there are no per-user add-ons. A one-time setup fee covers getting the front desk connected and tested with you, and every new account starts with a free first month.
Your bill moves with usage above your plan's bundle, at published overage rates, and not with how many people you invite. The owner can invite as many people as they like, by email, to help monitor the project.
The two roles, in plain words
- Admin: sees everything, including the dashboard with the results, the billing and install pages, and the live inbox, and manages the team.
- Agent: works the live inbox only. They can watch conversations as they happen, take over, and reply when a customer would prefer a person, and they can't see anything else.
- That split lets you give a part-time helper a view of the conversations without handing them the rest of the account.
How inviting someone works
- The owner opens the Team section of the dashboard and types the person's email.
- They choose Admin or Agent and press Send invite.
- The person gets an email and signs in with their own address, so it's always clear who did what.
- If the email doesn't arrive, the invite can be resent, or the inbox link can be shared directly.
- A role can be changed at any time, and removing someone takes away their access immediately. There's no seat to cancel and nothing to renegotiate.
What to ask any vendor about seats
- Is every person who signs in billed, or only certain roles?
- Do managers, viewers and admins cost extra?
- What happens to the bill when I add staff for a busy season?
- What does the bill look like if usage doubles but the team stays the same?
- Is setup a one-time charge, or part of a recurring fee?

Common questions
Does Viravance charge per user?
No. Every plan includes unlimited team seats, so the number of people you invite doesn't change your monthly price. Your bill depends on your plan and on usage above its bundle.
Can I invite my whole team?
Yes. The owner invites people by email and gives each an Admin or Agent role. Admins manage the team and see the dashboard, and Agents watch conversations in the live inbox and can step in.
Is it a one-time payment?
No. Plans are flat monthly prices. There is a one-time setup fee for getting the front desk connected and tested with you, and the first month is free for new accounts.
Can I limit what a team member sees?
Yes. The Agent role gives access to the live inbox only, so a part-time helper can watch and reply to conversations without seeing the dashboard, billing or team settings. Admins see everything.
Is there a limit on how many people I can invite?
There are no seat fees and no seat limit on any plan. If you ever have a very large team, tell us and we'll make sure it works for you.
